FLINT & COOK GENERAL DATA PROTECTION REGULATION POLICY 2018

The Flint & Cook group (Hereford, Bromyard & Ross-on-Wye) take your personal privacy very seriously.  This policy will help you understand how we collect and use the personal information that you supply is with.  By sharing your data with us, it is implied that you  have given us your permission to use your data under the terms of this policy.

Why we need your details:

Flint & Cook collect and use your personal information (which can include telephone numbers, e-mail addresses, addresses etc), in order that we can action (or resolve where necessary) one of the following:

·         Reply to any requests for information that you might ask us for.

·         Clarify a particular query.

·         Resolve any problems

·         Supply details of any service (within the Flint & Cook group only), that we believe might meet your needs.

How we receive the information you provide us with:

The information we hold will have been supplied by you directly to us by telephone, e-mail or walk-in.  This information is classed as ‘personally identifiable information’.

Who has access to this information?

Your personally identifiable information will be accessed only by members of staff within the Flint & Cook group of offices.

This information will be kept within the Flint & Cook group until such time as you ask for it to be removed OR we decide that, in the absence of any response, it SHOULD be removed as part of our ‘housekeeping’ process.

Consent:

Since we rely on your consent to use your data, we will ensure that it meets the GDPR standard on being specific, transparent, prominent, correctly documented and easily withdrawn and disposed of.

How we store your information:

Manually -  in locked cabinet/drawers/office.

Electronically – cloud storage and off-site storage.

How long do we hold your information:

We have a legal requirement to store your information/data, both manually and electronically, securely for 6 years, after which time, your information/data will be disposed of/deleted securely.

Withdrawing your consent:

We can withdraw your consent by amending your registered status however, there may be occasions where, for example by law, we have no choice but to retain data for a certain length of time.

Staff Training

We endeavour to maintain regular staff training.   Staff responsibilities are clearly outlined and any Data Protection issues are discussed at regular staff meetings.
